Security guards must be able to communicate well with their writing by using proper grammar and spelling. Writing incident reports are very important. Some companies provide their own forms to make it simpler for the required areas to be completed. If you are handwriting your incident report, be sure that your writing is legible and readable. Your report should only contain the facts, and be easy to understand. Use concise paragraphs. You can also use bullet points to make it easier to read.
The Who, What, When, Where and How should all be the leading points in your incident reports. Your incident reports are not complete without these points. Explain all the events that led up to the incident and how the situation progressed.
Keep in mind, your incident reports will be read by your supervisor and/or boss, and may be read by legal attorneys, police officers, or fire department personnel.
